Privacy Policy

This Privacy Policy applies to the SolarLayout products operated by Rensaar Private Limited ("Rensaar," "we," "us," or "our"), a company incorporated in Bangalore, Karnataka, India: our online SolarLayout Service (the web application) and our desktop applications, SolarLayout Desktop and BESS Desktop. The account, cookie, and server-storage practices described below apply to the online Service; the desktop applications run entirely on your own device and are covered separately in Section 9. Your rights (Section 5), our Grievance Officer (Section 8), and how to contact us (Section 11) apply to all products.
1. Information We Collect
We collect the following categories of personal data:
- Name — provided during registration
- Email address — provided during registration
- IP address — collected automatically when you access the Service
- Mobile number (optional) — if provided during trial activation or for support communication
- Device identifier — a hardware/installation identifier provided by your operating system (on Windows, the MachineGuid; on macOS, the IOPlatformUUID), used to bind and validate your desktop licence or free trial to a single device
- Usage and activity data — records of which product features you use and when (for example, activating a trial, generating a layout or single-line diagram, running a battery simulation or optimisation, or exporting a drawing or report), each accompanied by aggregate technical metrics about the design (such as plant capacity, site area, component counts, and financial indicators). This does not include your project files, site boundaries, coordinates, or input datasets.
2. Purpose of Collection
We use the information collected for:
- Delivering and maintaining the SolarLayout Service
- Operating our desktop free trials and licensing — issuing, validating, and managing access on your device
- Providing customer support and responding to enquiries
- Understanding product usage and improving our products, features, and user experience
- Communicating important updates about the Service
3. How We Store Your Data
Your personal data is encrypted at rest and in transit. Our servers are located in India. We implement industry-standard security measures to protect your data against unauthorised access, alteration, or disclosure.
4. Data Retention
We retain your personal data for as long as your account is active, plus an additional two years after account closure or inactivity. After this period, your data will be securely deleted unless retention is required by law.
5. Your Rights Under the DPDP Act 2023
Under the Digital Personal Data Protection Act, 2023 ("DPDP Act"), you have the following rights:
- Right to Access — request a summary of your personal data and processing activities
- Right to Correction — request correction of inaccurate or incomplete personal data
- Right to Erasure — request deletion of your personal data, subject to legal retention requirements
- Right to Grievance Redressal — raise a complaint with our Grievance Officer or the Data Protection Board of India
6. Third-Party Sharing
We do not sell your personal data. We may share data with essential third-party service providers (such as hosting, analytics, and payment processing) only to the extent necessary to operate the Service. All third-party providers are contractually required to protect your data.
7. Cookies
We use analytics cookies to understand how visitors interact with our website. Cookies are placed only after you provide consent. You can manage or withdraw cookie consent at any time through your browser settings.
8. Grievance Officer
In accordance with the DPDP Act 2023, we have appointed a Grievance Officer to address your concerns:

We will acknowledge your grievance within 48 hours and resolve it within 30 days.
9. Desktop Applications (SolarLayout Desktop & BESS Desktop)
Our desktop applications — SolarLayout Desktop and BESS Desktop — are installed and run on your own device, and your design work is performed locally. To use them, however, you sign in and activate a free trial or licence, and while running they connect to our servers to validate your access and to record product-usage activity. This section describes what those applications store on your device and what they send to us.
Data stored on your device
To validate your access, the application reads a device identifier provided by your operating system (on Windows, the installation’s MachineGuid; on macOS, the IOPlatformUUID) and keeps a small access-status cache (your current trial/licence status and its validity date) locally under your user profile (for example, %APPDATA%). Your project files, site boundaries, and exported drawings (KMZ, DXF, PDF, Excel) are created and kept only on your device and are not uploaded to Rensaar.
Data the applications send to Rensaar
Both SolarLayout Desktop and BESS Desktop connect to our servers (at api.solarlayout.app) to operate your account, free trial or licence, and to help us understand how the products are used. Specifically, they send:
- Your device identifier, to check and enforce your trial/licence status for that device.
- The account details you provide when you activate (your name and email address, and a mobile number if you choose to add one), which you enter through our website sign-in and which we link to your device identifier.
- Trial and licence records— your access status and its start and validity dates.
- Usage and activity events— a record each time you use a key feature (for example, generating a layout or single-line diagram, running a battery simulation or optimisation, loading a dataset, or exporting a drawing or report), together with aggregate technical metrics about the design (such as plant capacity, site area, component counts, system sizes, and financial indicators). These events do not include your project files, site boundaries, coordinates, or input datasets.
- Standard connection information such as your IP address and timestamps, logged when the application contacts our servers.
We use this information to provide and protect your access, prevent abuse of free trials, and improve our products. It is handled under the same storage, retention, sharing, and rights terms described in Sections 3–6 above.
Data sent to third-party services (SolarLayout Desktop)
To compute solar-resource, terrain, and imagery results, SolarLayout Desktop sends the geographic coordinates of your project site (and the corresponding map extent) to the third-party services listed below. It does not send your name, email address, device identifier, or project files to them. Your use of these services is subject to their own privacy policies.
- PVGIS— European Commission, Joint Research Centre (solar irradiance and energy data)
- NASA POWER— U.S. National Aeronautics and Space Administration (weather data)
- OpenTopoData / SRTM— terrain elevation data
- Esri ArcGIS Online— satellite and base-map imagery
BESS Desktop does not use any third-party data services: it processes the data you provide (such as generation and price CSV files) entirely on your device. Aside from the account, licensing, and usage-activity connections to Rensaar described above (which apply to both applications), it makes no external network calls, and your CSV inputs and results never leave your device.
Activating a trial or licence
To start a free trial, you sign in through our website (reached from the application), where you provide your name and email address — and optionally a mobile number — which we link to the Device ID shown in the application. For a paid licence you may also provide these details to Rensaar directly (for example, by email). We use this information to issue, validate, and manage your access.
Retention and deletion
Access-status and configuration data remain on your device until you uninstall the application or delete them. The account, trial/licence, and activity records we hold on our servers are retained as described in Section 4. To request deletion of the records Rensaar holds about you, contact us at hello@solarlayout.app.
10. Changes to This Policy
We may update this privacy policy from time to time. Changes will be posted on this page with a revised effective date. We encourage you to review this page periodically.
